Privacy Policy

This Privacy Policy is originally written in Japanese. This English translation is provided for reference only. In the event of any discrepancy between the Japanese and English versions, the Japanese version shall prevail.

This Privacy Policy (the “Policy”) describes how an individual developer (the “Provider”) handles personal information and scan data in the iOS application “FlipScan” (the “App”), which is distributed through the Apple App Store.

Article 1 (Definition of Personal Information)

In this Policy, “Personal Information” means “personal information” as defined in the Act on the Protection of Personal Information of Japan (the “APPI”), namely information about a living individual that can identify the specific individual — such as name, date of birth, address, telephone number, email address, IP address, or device identifier — either by itself or when combined with other readily available information.

Article 2 (Information We Collect)

The Provider may collect and use the following information in the App:

  1. Information generated or entered by the User within the App
    • Images of books, notes and similar materials captured through the App’s camera function, and text, formulas, tables and other structured data extracted from those images (collectively, “Scan Data”)
    • Deck names, tags, memos and other information created or entered by the User
    • In-app purchase history (premium plan)
  2. Information collected automatically
    • OS type and version, device model
    • Usage of the App (number of launches, time spent, frequency of feature use and similar statistical information)
    • Anonymous usage statistics and analytics identifiers collected via Firebase Analytics
    • Apple App Analytics (collected by Apple in an anonymized form only when the User has enabled “Share iPhone Analytics” in iOS settings)

Because the App can be used without creating an account, the Provider does not obtain names, email addresses, phone numbers or any other information that directly identifies the User. The App does not serve advertisements, does not use the Advertising Identifier (IDFA), and does not request tracking consent under App Tracking Transparency (ATT).

Article 3 (Handling of Scan Data)

  1. Scan Data is, as a general rule, stored only on the device on which the App runs. The Provider does not transmit or store Scan Data on any server or other external system operated by the Provider, except when the User uses the AI features described in Article 4.
  2. When Scan Data is backed up outside the device, such backup takes place only through iCloud backup, iOS device-to-device transfer, the User’s own export, or other facilities managed by Apple or the User. The Provider has no access to Scan Data stored in such backup destinations.
  3. The User can delete Scan Data from the device at any time by using the App’s controls or by uninstalling the App.

Article 4 (Data Transmission for AI Features)

  1. When the User uses the AI features of the App (including summarization, translation and question answering powered by artificial intelligence), part or all of the relevant Scan Data is transmitted to AI services operated by the Provider or by third parties, to the extent necessary for processing.
  2. The data transmitted is limited to the minimum necessary for processing the requested AI feature. The Provider does not use data transmitted via AI features for any purpose other than processing that feature.
  3. The handling of transmitted data by third-party AI services is governed by the terms and privacy policies of the respective service providers. By using the AI features, the User agrees in advance that such transmission will occur.

Article 5 (Purposes of Use)

The Provider uses the collected information for the following purposes:

  1. Providing and operating the App;
  2. Carrying out features requested by the User, including AI features;
  3. Improving existing features, fixing defects, and developing new features;
  4. Performing statistical analysis of usage and errors to improve quality;
  5. Managing in-app purchase history and providing related support;
  6. Responding to inquiries;
  7. Responding to requirements under laws and other applicable regulations.

Article 6 (Provision to Third Parties)

The Provider will not provide Personal Information to any third party without the User’s prior consent, except in the following cases:

  1. Where disclosure is required by law;
  2. Where disclosure is necessary for the protection of human life, body or property, and it is difficult to obtain the User’s consent;
  3. Where disclosure is particularly necessary for improving public health or promoting the sound development of children, and it is difficult to obtain the User’s consent;
  4. Where it is necessary to cooperate with a national or local government body, or with a party entrusted by such body, in the performance of legally prescribed duties, and obtaining the User’s consent would impede the performance of those duties;
  5. Where the Provider outsources operations necessary for running the App (such as analytics or AI processing) to external contractors. In such cases, the Provider imposes confidentiality obligations on and appropriately supervises such contractors.

Article 7 (Third-Party Services)

The App uses the following third-party services. For details on how each service handles data, please refer to the respective privacy policies published by each provider.

  1. Firebase Analytics (provided by Google LLC)
    • Information collected: Usage of the App, device information, anonymous analytics identifiers, and similar data
    • Purpose: Understanding usage trends and improving quality

  2. Apple App Store in-app purchase system (provided by Apple Inc.)
    • Information collected: In-app purchase records
    • Purpose: Processing premium plan purchases and restorations
    • More information: Apple Privacy Policy
  3. Third-party AI services
    • Information collected: Part or all of the Scan Data sent when the User uses AI features
    • Purpose: Processing AI features such as summarization, translation and question answering
    • More information: Governed by the privacy policies of each AI service provider

Article 8 (Retention Period)

The Provider retains collected information for the period necessary to achieve the purposes of use, and securely deletes or anonymizes such information within a reasonable period thereafter. Where retention for a specified period is required by law, such information is retained for the required period. As stated in Article 3, Scan Data is, as a general rule, stored only on the User’s device and is not retained by the Provider.

Article 9 (Security Measures)

The Provider implements reasonable and appropriate technical and organizational measures to prevent the leakage, loss, or damage of collected Personal Information. When using third-party services, the Provider selects trustworthy providers and supervises them as necessary.

Article 10 (User Rights)

  1. The User may, in accordance with the APPI and other applicable laws, request disclosure, correction, addition, deletion, suspension of use, or suspension of provision to third parties of their Personal Information held by the Provider.
  2. To make such a request, please contact the Provider via the contact information set out in Article 12.
  3. Scan Data can be deleted at any time by the User through the App’s own controls.

Article 11 (Changes to this Policy)

The Provider may modify this Policy in response to changes in law, changes in operational circumstances, or additions to the App’s features. The modified Policy takes effect upon notification within the App, posting on the Apple App Store, or publication on this site.
